What to do if a consulate rejects your apostilled document
A genuine apostille can still be rejected when it is attached to the wrong record, a translation is missing or the file does not meet the recipient's rules. Do not order another apostille until you know the cause.
Get the reason in writing
Ask the consulate or authority to identify the document and defect: wrong signature, uncertified copy, missing translation, age limit, name mismatch, wrong destination or altered document. A specific answer keeps you from repeating the same error.
Check the apostille authority
An FBI check needs a federal apostille; a state vital record follows the issuing state. A Florida apostille cannot cure a New York birth certificate, and private notarization does not replace an official certified copy.
Inspect the underlying record
- Is it an acceptable original or certified copy?
- Does it show a legible signature, printed name, title, seal and date?
- Does the recipient require a long form or recently issued version?
- Do names and dates match the passport and application?
Do not alter the set
Do not remove staples, trim pages or detach the apostille for scanning. If the set was altered, ask whether the record must be replaced and apostilled again.
Review translation and destination
Confirm who may translate, which pages must be translated and whether the consulate requires a sworn, certified or registered translator. Also verify the destination and whether the Convention applies between that country and the United States.
Correction plan
- Keep the rejection notice.
- Compare it with the current official checklist.
- Locate the first failure in the chain.
- Reissue or recertify only what is necessary.
- Order a new apostille if the underlying record changes.
- Have the file independently reviewed before resubmission.
